What does the asset register record?
Every device Smartec installs or maintains, as an individual record with its full history. Every detector, panel, call point, camera, access control point, sounder and vent carries its location, type, installation date, full testing history and any defects logged against it, past or present, in a tamper-proof Digital Logbook.
The register runs on Uptick, a platform designed specifically for the fire and security industry rather than adapted from generic field service software. The distinction shows in the details: the register understands testing frequencies, compliance categories and certification requirements natively, because that is what it was built for.
When are the records updated?
During the visit, at the source. The register is not a spreadsheet someone updates when they remember. When a Smartec engineer attends site and tests a device, that test is logged against the asset record on the spot: what was tested, what was found, what action was taken or is required, with photos where a defect is identified. By the time the engineer leaves site, your records are current.
The compliance implication is significant. BS 5839-1:2025 places clear expectations on documentation: testing records, defect logs and certificates must exist, be accurate and be retrievable. The 2025 update also strengthened requirements around false alarm investigation, including thresholds based on false alarm rates per number of detectors, which are only practical to monitor if your asset data is accurate and current. A live digital register makes these obligations straightforward. A paper trail makes them a quarterly archaeology project.
What happens to defects?
They stay visible, with a live status, until they are resolved. One of the quietest compliance risks in building management is the defect that was reported, discussed and then lost: half-fixed, waiting on a part, or forgotten between service visits. In the Portal, a defect logged against an asset is photo-verified at the point it is found and keeps its status until resolution. Nothing disappears into an email thread. You always know what is outstanding across your estate, and you can evidence what was done about it.
